TITLE:  Administrative Secretary: HS Counseling Department 

TYPE OF POSITION: Full-time (1.0), anticipated start date 4/29/2024); salary commensurate with experience (current range $23.64-$32.08/hour)

LOCATION:  High School, Hopkinton, Massachusetts

This is the position of Administrative Secretary - High School Counseling Department.  The incumbent provides support to the high school counseling staff by coordinating, overseeing and managing an array of ongoing duties and special projects for the Counseling Department Coordinator.  The Administrative Secretary reports to the High School Principal with input from the Counseling Department Coordinator.

 

DUTIES:

The incumbent provides administrative secretarial support to the High School Counseling Department Coordinator and staff, including, but not limited to the following:

  1. Prepares and distributes reports, correspondence, and forms, frequently of a confidential nature;
  2. Makes and confirms appointments and meetings as directed, schedules meeting space, and schedules and receives visitors; 
  3. Organizes and maintains both electronic and paper files of records and correspondence, including special projects; 
  4. Records transfer student credits, and files and maintains complete permanent transcript records;
  5. Assists with scheduling and other special projects, such as AP, PSAT and PLAN test coordination;
  6. Maintains student files by keeping transcripts up to date and accurate, processing materials for college applications, including mid-year and final transcripts and NCAA eligibility materials;
  7. Works closely with Data Analyst/Data Manager to track and record data required for the Department of Elementary & Secondary Education reports;
  8. Processes and keeps records of purchase orders and assists with budgeting by tracking expenditures and providing relevant back-up information;
  9. Provides public relations support by pleasantly greeting parents and students, assisting new residents with questions pertaining to the high school and community, and registering new students;
  10. Other duties, as assigned.

 

QUALIFICATIONS:

To be considered qualified for the position of Administrative Secretary to the High School Counseling Department, candidates must have/be:

  1. High school diploma or general education degree (GED), Bachelor’s degree in a related field preferred;
  2. Skill in operating a personal computer and extensive experience with office software, such as the Microsoft Office suite – Power School and Naviance experience a plus;
  3. Ability to communicate clearly and effectively, both orally and in writing;
  4. Ability to apply knowledge, skills, abilities and experience to independently manage projects or segments of projects;
  5. Ability to independently deal with problems involving abstract variables in various situations;
  6. Such alternatives to the above qualifications as the supervisor(s) may find appropriate and in conformity with state and federal requirements.
